  • INDEMNIFICATION / HOLD HARMLESS AGREEMENT

    I/We hereby release, waive, discharge, and hold harmless the Cottonwood Chamber of Commerce, the Town of Cottonwood, event organizers, sponsors, volunteers, officers, directors, members, agents, representatives, property owners, and persons connected with this event from liability, claims, damages, losses, judgments, actions, costs, or expenses arising from participation in or attendance at this event.

    • FOOD VENDOR COMPLIANCE (if applicable)

      All food vendors must comply with applicable Shasta County Environmental Health requirements and obtain any permits required for their operation.


      SETUP & TEARDOWN

      Vendor setup begins at 7:30 AM and ends at 9:30 AM.


      All vendors must:

      ●       Be on-site by 8:30 AM may or you may forfeit vendor space and fees.

      ●       Be fully set up and operational by 9:30 AM

      ●       Ensure setup / canopies are properly secured for wind conditions using appropriate weights, anchors, or other securing methods.

      ●       Not teardown before 3:00 PM and should be completed by 4:00 PM.

      ●       Not depart or close their booth early without prior approval.


      STAFFING REQUIREMENTS

      Vendor booths, trailers, tables, tents, and displays must remain staffed and operational throughout event hours.

      The Cottonwood Chamber of Commerce is not responsible for lost, stolen, or damaged merchandise, equipment, or display materials.


      VENDOR RESPONSIBILITY

      Vendors are fully responsible for:

      ●       Their booth space

      ●       Equipment and inventory

      ●       Employees, volunteers, and representatives

      ●       Maintaining a safe, professional, and clean operating area. Activities must not detract from the image, safety, or welfare of the event.

      Ensuring prior to departure, vendors must leave their assigned area clean and free of trash, grease, debris, and materials.


      ACCEPTANCE POLICY

      The Cottonwood Chamber of Commerce reserves the right to accept, deny, or revoke any vendor participation if deemed necessary and in the best interest of the event.

       

       

      ELECTRICITY / SOUND

      ●       Electricity is NOT provided.

      ●       Vendors must provide their own approved power source if needed.

      ●       No amplified music, speakers, or sound systems may be used without prior approval.


      PARKING & VEHICLES

      ●       Vendor vehicles must be removed from the event closure area no later than 8:00 AM.

      ●       Vendor parking is available on nearby side streets.


      RESTROOMS

      Portable restrooms will be provided for vendor and public use.


      EVENT POLICY

      ●       Vendors are responsible for providing appropriate weather protection, booth stability, and operational readiness for expected conditions.

      ●       Vendor fees are non-refundable due to weather conditions, unless event organizers initiate cancellation.
