Terms and Conditions:
1. Vendor Catergories and Permitted goods
-Approved items: Vendors must sell static goods or crafts. NO items deemed illegal or unsafe to sell are allowed
2. Legal compliance and tax obligations:
-sales tax tracking: the combined sales tax rate in West Carroll Parish reaches up to 11.5% (5% Louisiana state + local parish/municipal taxes). Vendors are solely responsible for tracking, collecting, and reporting these local rates.
-tax reporting mandate: Per Louisiana Department of Revenue (LDR) rules, event organizers will submit a full roster of participationg vendors to the state. Vendors must file their tax earnings using LDR Special Events Return (form R-1029SE)
3. Food truck self-containment policy
-zero utility connections: Event management does not provide electrical hookups, power grids, water lines, or extension cords for food trucks.
-onboard power and equipment
-Every food truck must operate entirely on its own onboard, functional power source. All propane tanks, stock, tables, and coolers must remain within vendors designated space. Quiet inverted generators are welcome.
-Food truck catergories WILL be limited. After the number of vendors is met for catergories, no more will be accepted.
4. Retail power purchase agreement
-optional electrical access: retail vendors may purchase access to a standard electrical outlet for a flat, non-refundable fee of $10, booked in advance.
-low voltage limit: purchased power is restricted strictly to low-voltage equipment. High draw appliances are strictly banned.
-vendor cords-retailers must supply their own outdoor-rated extension cords. Cords must be covered to eliminate tripping hazards.
5. Schedule and logistical rules
-load in window: vendor load in begins at 6 am. All vehicles unloading and booth setups must be completed by 8 am
-late arrivals - vendors arriving after 7:30 am will not be allowed to drive vehicles onto the event grounds and must haul inventory by hand.
-unload and move: vendors must park, immediatly unload inventory onto their spot, and move their vehicle to the designated vendor lot before assembling their booth.
6. closing, early breakdown ban and teardown
-official end time: The event officially concludes at 3 pm
-no early breakdown: packing up inventory, dismantling tents, or turning off food truck equipment prior to 3 pm is strictly prohibited. Vendors breaking down early forfeit eligibility for all future events.
-teardown window: vendor vehicles will not be allowed back into the vending footprint until walkways are declared clear of guests. All vendors must be completely packed and vacate the property by 5 pm
-waste cleanup: retailers must bag thier dry waste and drop it in event dumpters. Food trucks must leave thier footprint free of trash, grease, or stains.
7. Cancellation and weather policy
-rain or shine: the event will take place rain or shine. no rain dates or rescheduled timelines are planned.
-strict no-refunds: all booth fees and retail power payments are final and completely non refundable.
-liability limits: event management is not liable for stolen inventory, damaged vendor equipment, weather disruptions, or loss of vendor sales.
