Food Vendor Rules & Regulations
⚠️ IMPORTANT ELECTRICAL NOTICE
ONLY ONE APPLIANCE OR COOKING UNIT MAY BE CONNECTED PER ELECTRICAL HOOKUP/SPACE.
This policy will be strictly enforced. Please plan your electrical needs accordingly. Vendors requiring additional electrical hookups must purchase an additional hookup, if available.
Food Truck Requirements
Only properly licensed food trucks will be permitted to participate in this year's Christmas Extravaganza. All food truck vendors must be approved by the Screven County Chamber of Commerce before registration is finalized.
When submitting your application, please include copies of all current licenses and permits. We are working closely with local agencies to ensure food safety remains our highest priority.
The Screven County Health Department will be on-site during the event and will verify that all required permits and licenses are current.
Food Safety Notice
Food vendors with failed food safety inspections within the State of Georgia will not be permitted to participate in this event.
Thank you for helping us provide a safe and enjoyable experience for our community.
Please note, any food trucks from outside of the state of Georgia will need to have their updated permits ready for the Health Inspector the day of the event.
Food Booth & Tent Requirements
This year, the Screven County Health Department will be conducting inspections during the event. Any food booth or tent serving cooked food must comply with all applicable health department regulations.
To successfully pass inspection, vendors must provide the following:
- A calibrated food thermometer capable of verifying:Cold foods are held at 41°F or below
- Cooked foods reach an internal temperature of 165°F
- Hot-held foods remain at 140°F or above
- Mosquito/insect netting that fully surrounds the tent.
- Rubber matting in all cooking and serving areas to provide a sanitary barrier between the ground and the work area.
- Food-service gloves for all individuals handling food.
The Screven County Chamber of Commerce will provide portable handwashing stations throughout the food vendor area for vendor use during the event.
After signing up for the event, the Screven County Chamber of Commerce will contact you for you to receive the documentations and forms for the Screven County Health Department's records. These forms are due no later than November 27, 2026.

Event Rules & Information
-Booth spaces are approximately 10' x 10'.
-Booth placement is coordinated by the Screven County Chamber of Commerce Board of Directors.
-Chamber Members may receive priority booth placement upon request.
-This is a Rain or Shine event. No refunds will be issued.
-Vendor check-in will take place at the front steps of the Chamber office, not inside the building.
-There is no rain date for the Christmas Extravaganza.
-The festival will be held on Saturday, December 12 from 3:00 PM until 7:00 PM.
-Vendors may check in and receive booth directions between 1:00 PM and 2:30 PM.
-Setup may not begin before 1:00 PM.
-All booths must be fully set up, and all vehicles removed from the downtown event area, by 2:30 PM.
-All food sales must end promptly at 7:00 PM.
-Vendor spaces must be completely cleaned and vacated by 8:00 PM.
-Vendors are responsible for providing their own tables, chairs, tents, trash receptacles, cooking equipment, extension cords, and any other necessary supplies.
-Vendors are responsible for removing all trash generated within their booth space.
Registration & Electrical Fees
Applications received after November 30 will incur a $20 late processing fee.
Electrical service is available for an additional $30 per hookup.
Only one appliance/cooking unit may be connected per electrical hookup.
Cooking & Grease Disposal
-Vendors preparing food will be assigned designated cooking locations.
-Cooking equipment must be positioned away from public walkways and operated safely at all times.
-Vendors are solely responsible for the proper disposal of all cooking oil and grease.
-No grease disposal containers will be provided. Due to workplace safety requirements, hot grease cannot be collected or transported by Chamber staff or volunteers.
Additional Vendor Policies
-No alcoholic beverages may be sold.
-No offensive or inappropriate merchandise may be displayed or sold.
-Vendors must remain within the boundaries of their assigned booth space.
-The Screven County Chamber of Commerce does not guarantee exclusivity for any food item, product, merchandise, or service. Multiple vendors may sell similar items.
-The Screven County Chamber of Commerce, its Board of Directors, volunteers, and event partners are not responsible for accidents, injuries, theft, loss, or damages that may occur during the Christmas Extravaganza.
Vendor Agreement
By signing below, I acknowledge that I have read, understand, and agree to comply with all rules, regulations, and health and safety requirements established by the Screven County Chamber of Commerce and the Screven County Health Department.
