  • Standard Vendor Booth  $395 CAD, inclusive of all taxes and admin fees. Includes one six-foot skirted table with white tablecloth and black skirting, two chairs, admission for up to two registered representatives, morning coffee, tea, water and light refreshments, promotional recognition through available Summit website, social media and event materials, and access to a targeted audience interested in women’s health, wellness and empowerment.

  • Your vendor booth includes one six-foot skirted table, two chairs and two admission passes for your registered representatives. Each admission includes an official event lanyard, which must be worn throughout the Summit.

  • All prices are in Canadian dollars and include all taxes and fees. 

    Full payment: $395 without power or $435 with power.

    Deposit option: pay $200 now; remaining balance due February 1, 2027 is $195 without power or $235 with power. Balance in full due February 1, 2027

    Registrations received after February 1, 2027 must be paid in full.

    Failure to pay the balance by the deadline may cancel the registration and release the booth. All amounts already paid remain non-refundable.

  • Vendor Terms and Conditions

  • 1. Application and Approval: Submission does not guarantee acceptance. Organizers may accept or decline in their sole discretion based on suitability, available space, category balance or duplication, safety, and alignment with the Summit. If declined before acceptance, submitted payment is returned. Once accepted, every payment is final and non-refundable.

    2. Fees and Payment: Booth is $395 CAD inclusive of taxes and fees; power is an additional $40 inclusive. A $200 non-refundable deposit may hold an approved booth. Balance is due February 1, 2027. Missed payment may cancel registration and release the booth, with no refund.

    3. No Refunds: All registration payments, deposits, power fees and associated charges are final and non-refundable. No refunds or credits for cancellation, withdrawal, inability to attend, no-show, late arrival or early departure.

    4. Replacement Vendor: An approved vendor unable to attend may propose another business by written request with full details at least 14 calendar days before the Summit. Every replacement is subject to the same requirements and organizer approval in the organizers’ sole discretion. If declined or no replacement is approved, no refund or credit is issued. Booths may not otherwise be transferred, shared, resold, assigned or subcontracted.

    5. Event Changes: If postponed, registration transfers to the rescheduled date. If organizers cancel and offer no replacement date, fees paid directly to organizers are refunded. Organizers are not responsible for travel, accommodations, staffing, inventory, marketing, lost revenue or similar vendor expenses.

  • 6. Setup and Teardown: Setup instructions will be sent before the event. Displays must be ready before 9:30 a.m. No dismantling or departure before 4:00 p.m. without authorization. Vendors remove all materials and waste.

    7. Displays: Displays must stay within the assigned space, remain safe and professional, and cannot block aisles, exits, neighbours or accessibility routes. Oversized equipment needs approval. Follow venue and fire rules. No disruptive scents or sounds, open flame, smoke, or damaging fixtures without approval.

    8. Electricity:  Power is only available if prepaid. Equipment must be disclosed, safe and compliant. Unsafe or excessive equipment may be prohibited. Power is limited to the oter walls. Limted spaces available.

    9. Products, Services and Claims:  Only approved offerings are permitted. Vendors comply with laws and professional standards. Misleading, unsubstantiated or guaranteed medical claims are prohibited. Wellness information is not individualized medical advice, diagnosis or treatment.

    10. Food and Samples:  Vendors follow venue and public-health requirements, obtain permits, and provide ingredient and allergen information. Alcohol requires written organizer and venue approval.

  • 11. Treatments and Demonstrations:  Treatments, screenings, assessments, consultations, bodywork and demonstrations must be disclosed. Vendors are responsible for qualifications, insurance, consent, hygiene, privacy and safety. Organizers may stop any unsafe, disruptive or inappropriate activity.

    12. Insurance and Liability: Vendors are responsible for their representatives, products, activities, inventory, displays and equipment, and for related claims, injuries or damage. Relevant vendors may be required to provide insurance, licences or credentials. The organizer and venue are not responsible for vendor loss, theft or property damage except where liability cannot legally be excluded.

    13. Licences, Taxes and Sales:  Vendors handle their own licences, permits, compliance, sales processing, taxes, warranties, returns, disputes and records. No sales commission is payable unless separately agreed in writing.

    14. Conduct: The Summit is an inclusive and respectful environment. Harassment, discrimination, aggressive selling, unsafe practices or inappropriate conduct are prohibited. Organizers may remove a vendor or representative without refund.

    15. Booth Placement:  Organizers control the floor plan and assignments. Specific locations are not guaranteed and may change for safety, accessibility, venue or guest-experience needs.

    16. Photography and Promotion:  Photography, audio and video may occur. Vendors permit use of event recordings containing their booth or representatives for promotional, editorial and archival purposes without compensation, and permit use of their submitted name, logo, website and approved description for event promotion.

    17. Communications:  Vendors must provide accurate contact information and review organizer emails containing updates, setup instructions and payment reminders.
