    This is and outdoor event. Each vendor stall is approx based on Food Truck & Tent dimensions -- THIS WILL INFLUENCE PLACEMENT on LAYOUT.

    Vendor must bring tent, table, chairs.

    Electricity is NOT provided.

    It's recommended vendors bring solar/battery lights.

      EXEMPTIONS

      Vendors who distribute or sell prepackaged foods that are also non-potentially hazardous, or vendors who distribute or sell “homemade food products” or “hand-pounded poi” directly to the consumer, are not required to obtain a Special Event Food Establishment permit. “Homemade food products” means not potentially hazardous food produced or packaged by the vendor in their home kitchen. Some common examples of “homemade food products” are baked goods, chex mix, popcorn, but DOES NOT include cream filled pastries, baked goods with meat, pickled food items, homemade salsas, jerky or smoked meats/fish, low acid canned foods and garlic in oil.

      Participating vendors are required to fill out a Vendor Application Form

      Rice Street Business Association (RSBA) reserves the right to decline applications. If your application is denied you will recieve a full refund along with written explanation of the reason for decline.

      All vendors must adhere to the rules noted below. 

      All submissions serves as the agreement to abide by the rules detailed below.

      RSBA staff will be on-site and have complete authority to interpret and implement Alakoko Makers Fair rules.

      Violations are grounds for warning and/or dismissal from event.
       
      Setup

      2:00-3:30 Road Access Drop-off 

      4:00 Event Start

      Vendors and event contributors can drive through roads between 2:00-3:30 for DROP OFFS ONLY. No parking allowed due to limited road space. Those arriving after 3:30pm may not be permitted to drive in. All cars (unless permitted) need to vacate by 3:30pm. All Vendors should be setup and ready for operations by 4:00pm.


      All vendors must supply their own tents, tables, chairs, etc.  No power supply provided, please bring battery or solar powered lights. Electric generators are welcome and gas generators must be approved.

      Each vendor will be assigned a space approx. 10ft x 10ft; food trucks will be each assigned a space approx. 15ft x 20ft

       
      Breakdown

      7:50 PM Early Breakdown

      8:00 Event Ends

      10:00 PM Area Clear

      Vendors and contributors are allowed to begin breaking down as early as 7:50pm, but no sooner unless permitted. Each vendor or contributor is responsible for leaving his or her area clean and orderly. Please pack out what you packed in. Any refuse and/or unsold goods must be removed from event area by vendor or contributor. On site trash disposal is not provided.

      Road will re-open for vendors and participants to drive through for pick-up starting from 8:30 pm. 

      All vendors and participants must be packed up and off event site by scheduled road opening time of 10:00pm.  

      Attendance

      If you are not able to attend advance notice is required 7 days prior to event date. Notices must be submitted by email (lihuenightmarket@gmail.com).

      Failure to communicate or excessive absences may result in forfeiture of space and fees.

       

      Approved Vendors & Products

      Only registered and approved vendors are allowed to sell or display products. Vendor spaces may not be used for any other purpose unless given written permission by the RSBA.


      Prohibited Items & Behavior

      Smoking, drugs, alcohol, and firearms are prohibited.

       

      Weather

      The Alakoko Makers Fair is a rain or shine event. In the event of closure due to severe weather a notification will be sent by email or text. 


      Compliance

      Vendors are responsible for providing valid GE tax license upon request during event and for obtaining ALL necessary permits from the State Department of Health as well as complying with regulations related to the sampling, production, labeling, and/or safety of product(s) offered for sale at event.

       
      Liability & Permits

      Vendor shall provide a general liability insurance policy in an amount of not less than $1 million naming Rice Street Business Association as additionally insured.

      Vendors are required to have a copy of their GE tax license on site.

      Food vendors need a Special Food Establishment Permit & we highly advocate abding by Zero Waste regulations

      Fees & Deadlines

      Fees are to be prepaid 7 days in advance of event date.

      Payments must be made online.

      Fees are non-refundable and do not carry over from event to event in the case of a no show. Late and/or unpaid market fees may result in forfeiture of your space.

       

      Grievance Policy

      Vendors, contributors, and/or customers may submit comments/complaints by sending an email explaining their issue to (lihuenightmarket@gmail.com). Complaints will be reviewed and responded to via email and/or over the phone.

       

      Indemnification

      Vendor shall indemnify, defend, and hold and save RSBA, and their respective officers, directors, agents and employees (together, the "Indemnified Parties"), harmless from any and all claims, suits, demands, debts, undertakings or proceedings of any kind or nature, whether meritorious or frivolous, in any way arising out of the Vendor's use of the space, including liability caused in whole or in part by the Indemnified Parties. Vendor shall, at his/her own expense, appear, defend, and pay all attorneys' fees and all costs and other expenses arising therefrom or incurred in connection therewith; and, if any judgment shall be rendered against the Indemnified Parties in any such action, Vendor shall, at his/her own expense, satisfy and discharge same.
