2026 Mid-Autumn Festival - Vendor Booth Registration

Event Information:

Date: Sunday, September 20th, 2026
Location: Asian Market (4430 The Plaza, Charlotte, NC 28215)
Expected Attendees: 5,000+

Setup Information:

Date: Saturday, September 19th from 6-9 pm (subject to change)
To ensure a smooth event opening, we require all vendors to participate in Saturday setup. In addition to fire safety inspection, you must complete your setup on Festival Day (Sunday morning) no later than 10:00 AM. If you are unable to attend on Saturday or complete setup by Sunday 10AM, your original booth location will be forfeited. Vendor fees remain non-refundable.

Payment Information:

Secure Payment via Stripe: All booth payments are processed securely through Stripe at the time of submission. Your card information is encrypted and never stored on our servers — Stripe handles all payment processing directly, and your booth fee is charged immediately upon completing this application.

The Festival's Vendors Committee will review all applications, and applying does not guarantee acceptance into the event as a vendor.
Vendor Space Details:

A vendor space will be 10x10 ft. Each vendor will be provided for each space:
- 1x 10x10 ft tent
- 2x 6 ft table
- 2x 8 ft tablecloth
- 4x chairs
VAC will not be providing power for this event. Please let our team know if you plan to bring your own generators if you need power.

Description of Booth

Once your application is submitted, our payment will be processed by Stripe and an invoice will be emailed to the email address listed in the application. Once we confirm your application, a receipt can be emailed to reflect your payment with your booth confirmation.

Do you require a receipt for tax deductions?

1. The Vietnamese Association of Charlotte is not liable for any concessionaires’ goods or services. Each concessionaire is encouraged to obtain its own insurance coverage for the sale of products.
2. Each business/organization acting as a concessionaire is responsible for and expected to comply with all local, state, and federal regulations regarding merchandise and any applicable sales taxes. No political solicitation in any form is allowed.
3. Each concessionaire serving/displaying products and services must comply with VAC policy.
4. I will not serve nor sell any alcoholic drinks as it violates VAC policy.
5. I will pay the vendor booth registration fee by the allotted time frame to qualify for the appropriate fee (early-bird, regular, late). If I am late, I will have to pay the appropriate vendor booth amount, regardless if I applied earlier.
6. If I do not pay my vendor booth fee by the final deadline of Sunday, August 9th, 2026, my vendor booth application will be void, and I will not be a vendor for the Mid-Autumn Festival 2026.
7. If I do not provide a valid description of my business, I am okay with opting out of VAC marketing posts related to the Mid-Autumn Festival 2026.
8. I will set up my vendor booth on Saturday, September 19th, 2026 between 6:00pm - 9:00pm and/or Sunday, September 20th, 2026, between 8 am-10:00 am. Failure to set up and drop off supplies by Sunday 10 AM will result in my table being removed from the floor. Vendor fees will not be reimbursed.
9. I understand that all my equipment and setup must fit within my designated booth space (1 space: 10' x 10', 2 spaces: 10' x 20', etc.). This includes, but is not limited to, photo-ops/booths, storage, merchandise, banners, etc.
