Hall Rental Sponsor Agreement
Each room rental comes with tables, chairs and white table cloths as specified by guest count, but not to exceed the maximum capacity of room rental. Maximum capacity applies to parties without vendors and provides limited food buffet. If you would like to include activities, vendors, or larger food serving areas, you must reduce your party count.

$250.00 security deposit is required to hold the reservation, and is not applied to hall fee, however, it is refundable if there is no damage or violation for terms and conditions.

To reserve a date, you must present a valid Villages of Kapolei Association membership card and be Villages of Kapolei Association homeowner (or leaseholder with Transfer of Privileges).
A fully-refundable deposit of $250 is required upon signing to secure your time slot.
By selecting the checkbox in place of providing initials, the undersigned acknowledges and agrees that such action constitutes a valid and binding electronic affirmation of the Hall Rental Sponsor Agreement. The individual further confirms that checking the box signifies their intent to be legally bound by all terms and conditions set forth in the Agreement, with the same force and effect as a handwritten initial. I understand that failure to comply with the Association rules and staff requests may result in termination of the party and/or forfeiture of deposit and possible legal action; additional penalties may be assessed for violations to rental agreement.

I understand that alcohol is NOT ALLOWED on the property. I understand it is my responsibility to enforce this rule in all areas including the parking lot. I understand that failure to comply with these restrictions may mean the immediate shut down of my party and/or additional penalties assessed.

I understand that any cancellation must be submitted in writing. Security deposit refunds will be apportioned as follows for hall rentals: 120 days in advance, full refund; 119 to 46 days in advance, partial refund of $150; 45 days or less in advance, no refund. For pool rentals: 42 days in advance for a full refund.

I understand that if my lot becomes subject to suspension of privileges, this reservation will be automatically canceled without further notice or action, and all fees and/or deposit will be treated according to existing cancellation policy. (See Recreation Center Rules for more information.)

I understand that I am allowed only 2 hall rentals in a 6-month period. This includes all rental contracts signed by household members residing on my same Lot.

I understand that I must be here prior to anyone entering the hall. At that time I will do a pre-walkthrough inspection with staff. I understand that my access to the hall will begin at 10:00am at Rec 1 (9:00am at Rec 2) for a daytime function and 4:00pm at Rec 1 (3:00pm at Rec 2) for an evening function.

I understand that VOKA staff will come into the room after the party is over to initiate clean up, (2:00pm at Rec 1, 1:00pm at Rec 2 for daytime functions, 10:00pm at Rec 1, 9:00pm at Rec 2 for evening functions).

After the event I will: Remove all debris from floor and hallways, clear all food and decorations from association property, clean kitchen counters and appliances, police the exterior of the building, empty all trash into the dumpster and reline the trash cans, complete any other tasks required to return the facility to its original condition.

I understand that while the Association may provide brooms and/or mops to assist my clean up, it is ultimately my responsibility to provide the appropriate tools and equipment to leave the hall in a neat and clean manner. I understand that a vacuum is not provided.
