By registering for the CVC Ember Junior Academy ("Ember", "the Academy"), the player and their parent or guardian agree to these Terms & Conditions. Because Ember players are under 18, a parent or guardian must review and accept these terms on the player's behalf. If you do not agree, please do not register.
1. About Ember
CVC Ember is a junior development program run by Creadaptic Volleyball Club, built on Japan Volleyball Association (JVA) methodology and CVC's Kaizen philosophy of continuous improvement. It combines online learning, a physical training program, and in-person coaching to develop young volleyball players.
2. Eligibility & Parent/Guardian Consent
Ember is open to junior players within Years 6 to 9. As all players are minors, a parent or guardian must:
- Complete the parent/guardian sections of the registration form;
- Consent to the player's participation; and
- Accept these terms on the player's behalf.
You confirm the information provided at registration is true and complete, and that you'll keep contact and medical details up to date.
3. What's Included
Ember membership includes:
- CVC Foundations — a self-paced online video course (six modules), accessed through our learning platform, with our AI coach "Nōto" available for support.
- 3-Day Gym Program — a structured strength and movement program delivered and tracked through a training app.
- 1-on-1 Film Breakdown — available on request, a one-on-one video-analysis session with a CVC coach.
- Weekly Saturday Session — a two-hour in-person coaching session each Saturday, capped at 18 players per week on a first-come, first-served basis.
CVC may improve, update, add to, or adjust program inclusions from time to time. We'll give reasonable notice of any material change.
4. Fees & Payment
A one-off joining fee of $79.97 applies at registration (unless covered by a PlayOn! voucher — see clause 5). A rate of $29.97 will apply, billed weekly to your nominated payment method, until cancelled. All fees are in Australian dollars and include GST where applicable. Payments are processed by our third-party payment provider, Stripe. CVC does not store your full card details. It's your responsibility to keep a valid payment method on file. We may suspend access if a payment fails and is not resolved within 14 days.
5. PlayOn! Vouchers (Queensland Government)
CVC is a registered PlayOn! (formerly FairPlay) activity provider. Eligible Queensland families may use a PlayOn! voucher (up to $200 per child) toward Ember fees.
Please note:
- The voucher code must be provided at the time of registration — it cannot be applied to fees already paid.
- CVC will verify and claim the voucher through the Queensland Government's redemption process, and apply the eligible amount to your fees.
- Vouchers are not redeemable for cash and are not transferable.
- If a voucher is found to be invalid, expired, or already used, the applicable fee becomes payable by the parent or guardian.
- Voucher terms are set by the Queensland Government and may change. See qld.gov.au for current details.
6. Cancellation & Refunds
You may cancel your membership at any time by emailing us. Cancellation takes effect at the end of your current billing week. You'll retain access until then. The joining fee is non-refundable except where required by law. We don't provide refunds for partial months or for sessions or content you choose not to use. Nothing in these terms excludes, restricts or modifies any rights or remedies you have under the Australian Consumer Law.
7. Weekend Sessions
Saturday sessions are capped at 18 players and allocated first-come, first-served. A booked spot doesn't guarantee availability every week. Sessions may occasionally be rescheduled or cancelled due to weather, venue availability, or other factors outside our control. We'll notify you as early as we can. Please arrive on time and ready to train. Missed sessions are not refundable or transferable. Session location: Mt Warren Park Sports Centre.
8. Online Course & Training App
Access to the online course and training app is personal to the enrolled player and non-transferable. Login details must not be shared. Sharing access may result in suspension without refund. All course content, programs, videos, and materials are the intellectual property of CVC and may not be copied, recorded, downloaded (except where the platform allows), redistributed, or used commercially. Access continues while your membership is active and ends when it is cancelled or lapses.
9. Code of Conduct
Ember is a respectful, safe, and supportive environment. By joining, players and parents/guardians agree to the following.
Players will:
- Treat coaches, teammates, opponents, and officials with respect;
- Give their best effort and follow reasonable coaching instructions;
- Play safely and within the rules;
- Never engage in bullying, harassment, discrimination, or unsafe behaviour.
Parents/guardians will:
- Support their child positively and respect coaches, staff, and other families;
- Refrain from abusive, aggressive, or disruptive sideline behaviour;
- Raise any concerns respectfully and directly with CVC.
CVC is committed to child-safe practices. We may issue a warning, suspend, or remove a player or family for serious or repeated breaches of this code. No refund is provided where removal results from a breach.
10. Photo & Media Consent
From time to time CVC captures photos, video, and audio during sessions and events, and may use this material to promote the club and its programs, including on social media, our website, and in marketing.
Media consent is opt-in and given during registration. Where consent is given, you grant CVC permission to use the player's image and likeness for these purposes, without payment. You may withdraw consent at any time via email. We'll stop using the material going forward, however this will not apply to content already printed or published by third parties. We won't publish a player's full personal details (such as address or contact information) alongside their image.
11. Communications
If you opt in, you consent to receive communications from CVC, including by email, SMS, and group chat [e.g. WhatsApp/Slack] about sessions, schedules, updates, and club news.
You can opt out of marketing communications at any time. We may still send essential service messages (for example, a session cancellation or a billing notice) while your membership is active.
12. Health, Safety & Assumption of Risk
You must disclose any relevant medical conditions, injuries, or allergies at registration and update us if they change. The parent/guardian confirms the player is fit to participate in physical training. Volleyball training involves inherent physical risk, including from jumping, agility, strength work, and contact. While CVC takes reasonable care to provide a safe environment and appropriately qualified coaching, participation is at the player's own risk.
In an emergency, and where a parent/guardian cannot be reached, you authorise CVC to arrange reasonable first aid or medical assistance for the player. To the maximum extent permitted by law, and subject to your rights under the Australian Consumer Law, CVC limits its liability for loss, injury, or damage arising from participation to the extent it is not caused by CVC's negligence.
13. Privacy
CVC collects personal information (including a child's information) to run the Ember, communicate with you, process payments, and keep players safe. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
We don't sell your personal information. We share it only with service providers who help us operate (such as our payment and learning platforms), or where required by law. You may request access to, or correction of, your information by contacting us via email.
14. Changes to These Terms
We may update these terms or the program from time to time. We'll notify you of material changes. Continuing your membership after a change means you accept the updated terms.
15. Governing Law
These terms are governed by the laws of Queensland, Australia, and you submit to the non-exclusive jurisdiction of its courts.
