Vendor Rules
1. Vendor applications are subject to review and approval; submission of an application does not guarantee participation. You will only receive correspondence if your application is NOT approved, at which time your application fee will be refunded.
2. Vendors are not allowed to sell or display items deemed by Event staff to be obscene, political, dangerous, or illegal. Complaints and/or concerns will be addressed and resolved by the Event staff.
3. Electricity is limited and only available near City Park. Vendors must communicate with Event staff if this is needed.
4. The Event staff and Board of Directors have the right to refuse any vendor that provides products or services that do not fit the criteria or meet the needs of the expected attendees.
5. A vendor map layout will be emailed closer to the event with designated number and location. Previous location is not guaranteed. Each spot is 10x10.
6. Exclusivity is not guaranteed.
7. Vendors may start setting up early but there will not be event staff available until 7 am. Vendors must be set up by 9 am and vacate their spots by 5 pm. Drive slowly when entering and exiting the event space.
8. Vendors must stay for the entirety of the event.
9. Vendors cannot use public trash receptacles for disposal of vendor-produced trash. Vendors are responsible for cleaning up their area and removal of any garbage. This will be closely monitored. *Violators may be prohibited from future events* There is a dumpster on the SW corner of City Park for your use.
10. Event spaces for trailers are limited and assigned to designated areas for the safety of the public and other vendors. Trailers will be required to unhook from vehicles and park off-site, unless approved by Event staff. Prior approval will be needed for trailers.
11. Loading and unloading zones are allowed near booth spaces before and after event hours. PLEASE respect surrounding vendors while loading/unloading. We also ask that when unloading, you do so in the most efficient manner as we realize time is limited. Vendors must remain in their clearly marked spot.
12. Spaces may not be sold or given to other individuals.
13. Event staff will monitor any weather issues and concerns that arise. Cancellations will be posted on our website and Facebook. It is the vendor’s responsibility to monitor any changes, cancellations and use their own discretion. There will be no refunds due to the weather. There is a storm shelter located inside the VFW.
14. Vendors are responsible to notify the Event staff if unable to attend. Absence without communication with Event staff may result in termination of your space and/or placed on the waiting list. There are no refunds.
15. Smoking is not permitted by vendors/employees.
16. A designated storm shelter is located at the VFW at the corner of Main Ave and S 3rd St.
17. Vendors can not create their own Facebook event but can request to be a cohost of our event.
18. We do not offer refunds. This includes delayed, missed or weather related cancellations. Exspenses are still incurred if the event is held or cancelled.
NONCOMPLIANCE WITH ANY VENDOR RULE MAY RESULT IN FORFEITURE IN FUTURE EVENTS.
I understand that my booth must meet all event requirements and can be shut down, without refund, for noncompliance of these standards. I hereby expressly release the Clear Lake Area Chamber of Commerce, the City of Clear Lake, IA, or any other individuals associated with this event from all liability for any damages, injuries, thefts, suits, or actions that may arise out of participation on Harvest Festival. I have read the application and its provisions and fully understand that I assume all risks for any injuries or incidents received.
