Inside Vendor/Crafter/Artisan Contract
As a vendor at the WV Country Roads Festival, it is expected that your booth hours reflect the working hours of the festival (Friday 3pm – 8pm, Saturday 9am – 8pm, Sunday 9am – 5pm). Under no circumstances will you be permitted to pack up or disassemble your booth prior to the end of the day, as it may create a domino effect.
Early set up will be Thursday September 17th from 12pm - 6pm. If you cannot set up early, or prefer not to participate in the early set-up, you will be required to be set up no later than 1pm on Friday September 18th. Special circumstances can be arranged only with prior approval by the festival.
Any direct sale, craft vendor, or artisan business is invited to participate. However, vendors from any Direct Sales Companies, such as Scentsy, Tupperware, Paparazzi, etc. will be limited to only one (1) vendor for the festival. This limit is not intended for vendors that sell similar items, such as crafts, t-shirts, tumblers, etc. It is up to the vendor to know their own legalities. It is possible that another vendor may have an item that is the same, or similar, to yours.
If any special accommodation is needed, please make those known prior to the event!!!
NOTICE: A WV BUSINESS REGISTRATION CERTIFICATE IS MANDATORY AND MUST BE PROMINENTLY DISPLAYED AT YOUR BOOTH IN ORDER TO ENGAGE IN BUSINESS AT THE FESTIVAL
We are planning to have as many vendors / crafters as possible. If you are going to participate, please respond ASAP.
INSIDE SPACES ARE LIMITED
The fees for inside vendor spaces are as follows:
· 1 space (8ft x 10ft) - $50.00
· 2 spaces (8ft x 20ft) - $75.00
· 3 spaces (8ft x 30ft) - $100.00
**The above rates are for occupancy of only one (1) business / proprietorship. Each business / proprietorship will be required to pay for their own vendor spaces.
**Camping will be available during the festival for an additional $25.00 per night. Please fill out a separate “Camping Registration” on the website.
**Each vendor/crafter/artisan is required to donate 1 item for Door Prizes Per Business / proprietorship.
**Each vendor/crafter/artisan must supply their own tables and chairs.
**Electricity will be provided. However, each vendor/crafter/artisan must supply their own extension cord(s).
**Each vendor/crafter/artisan will be responsible for keeping their areas free of trash and debris during the festival. At the end of the festival, the area is to be left in the condition it was found during initial set-up.
**We ask that all vendors/crafters/artisans be respectable and polite. We want all those attending to feel welcome and enjoy a great time at our festival. Any exhibit of disruptive behavior to the attendees, other vendors, or staff will result in expulsion from the festival without a refund. Any issues or disputes will be resolved by the festival Directors, and their decision will be FINAL.
**The WV Country Roads Festival and its affiliates are not responsible for accidents, damages, theft, or loss of items/ products.
It is important that we know as soon as possible the vendors that will be at the festival so that we can advertise your participation appropriately. Because of this, we require immediate payment with all returned registration forms. Your space will not be reserved until a signed form and payment are received. Please return the registration form and payment in a timely manner, as there are multiple contracts being requested.
Sale items / descriptions must be included on the registration form.
If you carry your own liability insurance, please include a copy of the declaration page with your registration form.
WV Country Roads Festival is not responsible for any taxes for goods or merchandise sold by vendors.
BY SIGNING, YOU AGREE TO THE TERMS SET FORTH IN THE CONTRACT.
ALL FEES ARE NON-REFUNDABLE. NO EXCEPTIONS.
Keep this contract for your records.
Return the completed registration form and a copy of liability insurance, if applicable, with your payment.

NO POST-DATED CHECKS WILL BE ACCEPTED
REMEMBER: YOUR PAYMENT MUST BE RECEIVED WITH THE REGISTRATION.
If any issues arise during the festival, please contact any of the festival’s Board members for assistance. We will do all we can to take care of any issues that arise.
