• 2026 ScoutFest Vendor Application

  • The Greater Alabama Council and the 2026 ScoutFest Committee would like to invite you to participate in the largest gathering of Scouts and volunteers in the State of Alabama! Our main event will be held Saturday, November 13th, 2026 from 9:00 a.m. until 4:00 p.m., at American Village in Montevallo.

    We invite vendors from both for-profit and non-profit groups. Each space measures 20' in length (including tent stakes) by up to 20' deep, and is located near the National Veterans Shrine.

    20 ft - Vendor Space Rentals:
    Standard Vendors - $250.00 {for larger space, please ask for pricong)
    Non-Profit Groups and Government - Free

    Fees and applications are due by September 20. 2026
    SET UP TIME IS 2 p.m. - 5 p.m. on Friday, November 13th, 2026
    IMPORTANT: NO OVERNIGHT ARRIVALS or PARKING PRIOR TO November 13th 

    Vendor booth spaces will be assigned prior to the event and will be sent to you by e-mail two weeks in advance of the event. You will not be able to set up your booth unless you are guided by Event Personnel. All vendor vehicles must be parked in designated parking areas. Each vendor will be issued ONE Vendor Parking Pass per 20' booth space. Please note that traffic is limited once the activities begins; therefore, if you need to leave during the event, re-entering the park will be extremely difficult.

    EVENT STANDARDS: Vendors may sell only pre-approved products or services at the event. Any item or service deemed inappropriate for the event will not be permitted. The Greater Alabama Council and ScoutFest holds the right to ask any vendor who fails to remove items previously deemed inappropriate to leave without refund. Remember, this is a family event. If the product or service is not appropriate for a child's eyes, it's not appropriate for our event.

    WATER & ELECTRICITY: There is no electricity or water provided at the site. Should you desire to bring a generator, please note that only the "quiet" type generators are allowed and must be shielded to keep exhaust from entering other vendor's booths.

    SOLICITING: Soliciting beyond the boundaries of your booth is strictly prohibited without prior written permission from the ScoutFest Committee. If you are found violating this policy, you will be asked to leave the event without a refund.
     

    Please include dimensions of your trailer/booth. Booths exceeding 20' linear feet (event frontage) will be charged an additional booth fee.

  • Vendor Rules and Regulations:

    ►  Only ONE Entry Pass will be distributed upon your arrival per 20' booth space. No entry to the field is pennitted without a park escort. Vendor Parking directly behind booths is permitted as space allows.

    ►  Booths are 20' long X UP TO 20' in depth. Some locations may not allow a full 20' deep booth space due to logistics.

    ►  All taxes are the responsibility of individual vendors.

    ►  Vendors may not sell or exhibit articles, nor sell any other food or drink without prior, express and written consent of the ScoutFest Committee

    ►  All vendors must follow fire department safety regulations for your booth. (i.e. proper storage of propane tanks and ABC approved fire

    extinguisher.)

    ►  Generators may be used provided they are the "quiet" type and DO NOT have contact with the grass. Exhaust from generators must be shielded from other vendors and walkways.

    ►  Set up time: 2:00 PM-5:00 PM- Friday, November 13, 2026 ONLY

    ►  Vendors will not be allowed to take down their booth or depart the event due to safety concerns from 7:00 PM - 10:00 PM -Saturday, November 13, 2026.

    ► NO REFUNDS.

    ►  Vendors must sell or solicit within the confines of their allotted booth space unless expressly permitted in writing by the ScoutFest Vendor Committee.

    ►  Vendors agree to indemnify and hold Greater Alabama Council, Scouting America, City of Montevallo, American Village and its agents harmless from any and all claims arising out of the acts or negligence of vendor and its agents.

    ►  Vendors understand that the Greater Alabama Council, Scouting America as well as the City of Montevallo, American Village is not responsible for any loss or expense incurred due to negligence of vendor, its agents or employees, any injury sustained by vendor, its agents, any damage to the Park caused by vendor, its agents or employees.

    ►  Vendors understand that ScoutFest will occur rain or shine and Greater Alabama Council is not responsible for any reimbursements of losses due to inclement weather.

    These rules and regulations are a binding agreement and shall be governed by, construed and enforced in accordance with the laws of the State of Alabama.
