BUILDING USE & RENTAL AGREEMENT POLICY
(Non-Wedding Events)
Building Use Approval Process:
1) The purpose of use, including any event, must not conflict with Simsboro, First Baptist Church's (SFBC) mission, beliefs, and core values, and therefore maintains the right of refusal.
2) Rental of the SFBC facility will be limited to approved areas within the facility. Other areas in the building may be scheduled for other purposes simultaneously.
3) Rental Request & Approval:
- Complete the Building Use Policy & Rental Agreement Form (this form) to start the rental process and submit it to the church office in person, online, or by email (office@fbcsimsboro.org).
- The deposit (see amount below) will be required to secure the facility. SFBC reserves the right to keep the deposit if there is breakage, damage, or failure to restore the building to its original condition.
- The renter has the right to appeal the withholding of a deposit by submitting a written request within 24 hours of being notified that the deposit is not refundable. This appeal will be decided by SFBC's Policy & Bylaws Committee.
- FINAL PAYMENT is due the week of the event and prior to the event taking place.
Building Use Policy:
1) SFBC functions and activities have priority over other renters. Rental applications are considered in the order received.
2) In the case of ongoing use, such as weekly or monthly rental of facilities, SFBC reserves the right to preempt the use of our facilities. In such cases, at least two weeks' advance notice will be sent to the contact person for the group.
3) Freestanding candles, devices that might overload electrical circuits, or anything else that might be deemed a fire hazard, are prohibited.

12) An advisor will be assigned to the event to unlock and lock the buildings, set thermostats, assist the renter with any questions or concerns, inspect for damage and/or cleanliness, and have the authority to enforce or adjust items in this policy at their discretion for the event.
Rental Deposit & Fees
1) The facility is considered reserved when the deposit/payment is made.
2) Room rental fees will be assigned based on specific room requests per the Rental (Chart schedule below).
3) Any damages above the amount of the deposit will be the responsibility of the renter.
4) A church member is defined as follows:

The renter or their parents/guardian/grandparents are members in good standing (attending services at least twice a month and regularly contributing financially to the church) at the time the event is scheduled.

A former member who lives out of town and wants to return for an event will be considered a member. All others are considered non-members.

Church members who rent the facility for business-related (for-profit) events will be charged as non-members for that event.
