Show Hours Saturday & Sunday: 10am - 5pm

Vendor Check-in & Setup: 8am - 9:30am

Vendor Breakdown & Clean-up: 5pm - 6pm

*The Showcase Card Show reserves the right to adjust show dates/times without prior notification. In the event a show date or location (outside of the original county) is changed/rescheduled/cancelled, registered vendors will be notified and offered the option to move table credits to another date within a 3-month period of the original show dates or request a refund of the vendor registration fee for the show dates being changed/rescheduled/cancelled.

- 18+ years old (minors must be accompanied by an adult at all times)
- Business Instagram Account
- Business Logo / IG Profile Photo
- Must remain setup for the entire show

Second Vendor Registration fee is $25 per day.

Up to two (2) registered vendors are permitted to split a single table. All vendors must be registered with The Showcase Card Show and listed on this registration form. 

A second registered vendor is a person who is selling separate inventory under a separate Business Instagram Account. 

Second Vendor Registration includes:

Table Assignment *
Vendors will be assigned tables randomly at the discretion of The Showcase Card Show. For accountability purposes, once assigned, tables cannot be switched.

If a vendor has a preference regarding table placement, they may include it in the comments/notes field below. Accommodations are not guaranteed. 

The Showcase Card Show reserves the right to change table assignments as needed without prior notification. 

Table assignments will be given during check-in. Early check-in does not guarantee preferred or priority assignment.
Vendor Check-in*
* Vendors & Assistants are required to check-in between 8am-9:30am. Setup to be completed by 10am. 

*Check-in will close by 9:30am. If you are running late or need to cancel last minute for any reason, DM @TheShowcaseCardShow on Instagram. A no-message, no-call, no-show by 9:30am automatically releases your table and the no refund, transfer, nor credit policy will apply.

* Vendors & Assistants must present a valid government issued ID to receive a Vendor badge. Last minute additions/changes may not be accommodated.

* For security purposes, only those with a Vendor badge may enter the event space during designated vendor hours before and after show hours. No exceptions. Security checks will be enforced.


Vendor Spotlight Instagram Post*
Vendor Spotlights will be scheduled to post throughout the week of the event date. Logo/Vendor name changes will not be accepted during this time.
Vendor Information Catalog*
The Showcase Card Show will share the Vendor Information Catalog via the exclusive vendor group chat at least one (1) week prior to the event date. 

The catalog will contain all pertinent information regarding the upcoming show including load in/out instructions, WiFi, parking, etc.

Setup & Breakdown*
* Table, chairs, & table linen will be setup prior to vendor arrival.

* Vendor tables must remain as laid out by The Showcase Card Show team. They cannot be moved or rearranged. 

* Vendors will receive specific table assignments. Changes may occur at the discretion of event management.

* Vendors are responsible for setting up their own products during designated date and time.

* Vendors must be fully set up before the event opens to the public at 10am and must remain intact until the event concludes at 5pm.

* Vendors are only allowed to setup on assigned tables & in designated areas. Displays must not obstruct neighboring vendor tables or aisles. All items must be contained within the vendor's assigned space.

* Vendors may not setup on any vacant tables or spaces prior to getting approval by The Showcase Card Show.

* Vendors may bring & setup one small rack per registered table. No added personal chairs and/or tables of any size is permitted.

* No amplified music is allowed by vendors. The Showcase Card Show will provide music that can be adjusted for coordinated announcements. 

* Electrical power sources are not readily available. Plan accordingly with portable power banks, if needed.
Merchandise & Sales*
* Vendors may only sell products specified on their registration form.

* All items sold must be legal and comply with local, state, and federal laws.

* Stolen, counterfeit or unauthorized merchandise is strictly prohibited and will result in immediate expulsion from the event and ban from future vendor opportunities.

* Prices should be clearly communicated to attendees.

* Vendors are responsible for their own sales transactions, including sales tax collection and reporting. 

Personal Hygiene*
* Vendors are required to maintain a high standard of personal hygiene while at the event.

* Vendors should wear clean clothing and, if applicable, uniforms that reflect professionalism and promote a positive image of their business.

* Vendors who are feeling unwell or exhibiting any illness symptoms should refrain from attending the event to ensure the safety and health of all participants.

* The Showcase Card Show reserves the right to remove a vendor if personal hygiene and/or clothing negatively impacts the event atmosphere, at the discretion of event management.
Conduct & Behavior*
* Vendors are expected to conduct themselves in a professional and courteous manner at all times while interacting with attendees, other vendors, and event staff.

* Vendors must contribute to a respectful and inclusive environment.

* Harassment, discrimination, violence, aggression, threats or any form of inappropriate behavior will not be tolerated.

* Vendors are responsible for maintaining a clean and orderly space. Please leave your area the way you found it (free of trash).

* Smoking and vaping of any kind are prohibited inside the event space. Host venues may have designated areas for smoking and vaping outside of the event space. Vendors caught smoking or vaping inside the event space will forfeit their table and be removed from the event. No exceptions.

* Alcohol and all drug substances are prohibited inside the event space. Vendors caught with any prohibited items will forfeit their table and be removed from the event. No exceptions. 

* No weapon of any kind is permitted. 

* Vendors must comply with all health and safety regulations, including fire codes.

* Vendors must comply with all instructions and requests from event staff.

* All promotional activities must be conducted within the vendor's booth space. Soliciting attendees in common areas is prohibited.

* Vendors must not use their designated space for any illegal activities or behaviors deemed inappropriate by event management.

Insurance & Liability*
* Vendors are responsible for obtaining liability insurance for their booth/designated space and merchandise. 

* The Showcase Card Show organizers, venue host & event affiliates are not liable for any loss, theft, or damage to vendor property.

* Personal recording devices are recommended for each vendor space to serve as a deterrent and as evidence, if needed. 

* Recording devices must be placed in appropriate locations and at appropriate levels and heights to avoid obstructing views, interfering with other vendors and attendees, and violating personal privacy.

* Vendors agree to indemnify and hold harmless The Showcase Card Show organizers, venue host & event affiliates from any claims or liabilities arising from their participation.

Vendor Registration Fee*
Vendor Registration Fee covers administrative costs, marketing expenses & operational fees, which are allocated immediately upon receipt of payment. As a result, goods and services are considered received upon the submission of the vendor registration form and completion of payment. Therefore, the vendor registration fee is non-refundable, non-transferable, and cannot be credited toward future events.


Vendor Reputation*
Vendor acknowledges the importance of maintaining a positive reputation within the community. The vendor agrees to uphold standards of professionalism, quality, and integrity in all interactions related to the event. 

The Showcase Card Show reserves the right, at its sole discretion, to evaluate a vendor's fit for the event. This evaluation may include, but is not limited to, past performance, reputation, products to be sold, and alignment with the event's goals and values.

The Showcase Card Show may remove or deny a vendor's registration at any time if it is determined that the vendor does not meet the standards set forth by The Showcase Card Show or is otherwise deemed not a good fit for the show. This decision is final and will not be subject to appeal.

Vendor Registration Change Fee*
After submission of this vendor registration form, change requests may be made up until Fourteen (14) days before the event date. 

Each change request will incur a $5 administrative fee. 

Primary Vendor Registration & Second Vendor Registration cannot be changed. 

Acceptable changes include Business Instagram Handle, Business Logo, Email, Phone Number, Vendor Partner/Assistant name, and Product list.

Reselling Tables*
* Reselling tables is NOT PERMITTED.

* All Vendors & Assistants must register with The Showcase Card Show via the Vendor Registration Form prior to the event date. 

* Anyone caught participating in the reselling of a table(s) automatically forfeits their table registration, will be removed from the event and/or banned from vending at future events hosted by The Showcase Card Show.

* Event staff will conduct vendor checks throughout the show. 

* This ensures a fair marketplace for all vendors and the safety of all who are present at the event.
Cancellations*
In the event Vendor needs to cancel their registration for any reason and regardless of the timing of the cancellation, Vendor agrees to notify The Showcase Card Show immediately and forfeit their registered table(s).

Early Departure*
Vendors who need to pack up & leave the event early, and regardless of the timing of the departure must notify event management to forfeit their table(s). Failure to notify event management may result in ban from future show registrations. The no refund, transfer, nor credit policy will apply
No-Show*
A no-message, no-call, no-show by 9:30am on the day of the event is deemed a forfeiture of the vendor table(s). Failure to notify event management may result in ban from future show registrations. The no refund, transfer, nor credit policy will apply.
Expulsion / Removal from Event*
Vendor agrees to abide by all rules, regulations, terms & conditions of this vendor registration form. Failure to do so may result in expulsion and early removal from the event without warning. No exceptions. The no refund, transfer, nor credit policy will apply.
No Refund Policy*
All sales are final. All fees paid by vendors for event registration or any other services associated with the event are non-refundable. This includes, but is not limited to table fees, promotional fees, administration fees, and any additional services purchased.
No Transfer Policy*
Vendor fees and table assignments are non-transferable. Vendors may not transfer their table registration or any associated rights to another vendor or individual. 

In the event a vendor cannot attend, they may not send a replacement or substitute vendor without prior written consent from event management.
No Credit Policy*
No credits will be issued for any fees paid by vendors for future events or services. This includes situations where a vendor may be unable to attend the event due to unforeseen circumstances.
Show Date or Location Changes*
In the event a show date or location (outside of the original county) is changed/rescheduled/cancelled, registered vendors will be notified and offered the option to move table credits to another date within a 3-month period of the original show dates or request a refund of the vendor registration fee for the show dates being changed/rescheduled/cancelled.
Photography and Filiming*
* By agreeing to participate in the event, vendors grant permission for the event organizers and/or venue hosts to use photographs and/or video footage that may include them, their table, products, and personnel for promotional purposes.

* Vendors acknowledge that they have no rights to claim or receive any compensation, monetary or otherwise, for the use of their image or likeness or any footage captured in any promotional materials related to the event.
Payment*
Vendor registrations are only confirmed after full payment is received. A receipt will be emailed to the registered email address from "Jotform", "TheShowcaseCardShow@gmail.com", and/or "Square"; check junk box if not received within 10 minutes of submission. 

Charges on the bank statement will show as "TIANI LLC."

Amendments*
The event organizers reserve the right to amend the rules, regulations, terms & conditions as necessary without prior notification.
I acknowledge that I have read this Vendor Registration Form above, including the Rules & Regulations and Terms & Conditions set forth by the event organizers in its entirety.
