This is an outdoor event. Tents, tent weights, and shade cloths are highly recommended. Vendors are responsible for supplying their own tables, chairs, tents, and display materials. All booths must display a sign with their business name.

Food trucks and food vendors must contact Vaulted Oak Brewing directly. The BIG Plant Market does not manage food vendor placement at this location.

Submission of an application does not guarantee acceptance. We curate each market to provide attendees with a diverse selection of plants, plant supplies, plant themed artisans, home and garden related businesses, and other complementary vendors. Vendor selections are made to create the best overall experience for attendees.

Vendors must arrive and be fully set up at least one hour prior to the start of the event. Vendors arriving after the market opens may not be permitted to set up.

Booth space assignments are based on vendor participation and event layout requirements. If you have special space requirements, please contact us prior to submitting your application.

Vendors are responsible for setting up and breaking down their own booths. All merchandise, displays, supplies, equipment, and trash must be removed from the event site at the conclusion of the market.

Vendors are expected to maintain a professional and respectful relationship with fellow vendors, event staff, venue staff, and attendees at all times.

Vendor fees are non-refundable and non-transferable.

If an event must be canceled due to weather, venue issues, or other unforeseen circumstances, every effort will be made to reschedule the event. If a rescheduled date is secured and you are unable to attend, no refund, transfer, or credit will be issued.

If the event cannot be rescheduled, a refund may be issued minus any marketing and administrative expenses incurred on behalf of the vendor and event.

If a vendor cancels within 10 days of the event date, a $25 cancellation fee may be applied to any future market participation. Repeated late cancellations may affect eligibility for future events.

Vendors agree to help promote the event through their social media platforms and customer networks. Accepted vendors are encouraged to share event announcements, vendor spotlights, and promotional materials provided by The BIG Plant Market.

Applications and vendor fees should be submitted no later than two weeks before the event date to ensure inclusion in vendor spotlights and event marketing campaigns.

This is an outdoor event. Vendors understand that outdoor events may involve heat, wind, rain, humidity, and other weather conditions. Tents, tent weights, and shade cloths are highly recommended. Vendors are responsible for properly securing their tents, displays, and merchandise.

The market operates rain or shine unless conditions are deemed unsafe by event management, the venue, or local authorities.

Early breakdown is not permitted. Vendors are expected to remain set up and operational for the duration of the event unless otherwise approved by event management.

Vendors participate at their own risk and assume responsibility for their merchandise, equipment, displays, and personal property. The BIG Plant Market, event organizers, venue owners, sponsors, volunteers, and affiliates are not responsible for loss, theft, damage, injury, accidents, or claims occurring before, during, or after the event.

Vendors are responsible for obtaining all licenses, permits, certifications, insurance, and tax registrations required by federal, state, county, and local authorities. Plant vendors must possess any required Nursery, Dealer, or Plant Industry certifications applicable to their state.

By submitting this application, the vendor agrees to abide by all event rules, venue requirements, and instructions provided by event management.

VENDOR LIABILITY WAIVER & AGREEMENT

I voluntarily agree to participate as a vendor at The BIG Plant Market event.

I acknowledge that participation in a public event involves inherent risks, including but not limited to weather conditions, accidents, interactions with attendees, vendors, equipment, and other unforeseen circumstances. I voluntarily assume all risks associated with my participation.

I understand that participation in this event is at my own risk. I assume full responsibility for my merchandise, equipment, displays, personal property, employees, representatives, and guests associated with my booth.

I hereby release and hold harmless The BIG Plant Market, its owners, officers, employees, volunteers, venue partners, sponsors, affiliates, contractors, and representatives from any claims, liabilities, damages, losses, costs, expenses, injuries, theft, property damage, or other losses arising from or related to my participation in the event, except where prohibited by applicable law.

Vendor agrees to indemnify, defend, and hold harmless The BIG Plant Market, its owners, employees, volunteers, venue partners, sponsors, affiliates, contractors, and representatives from any claims, damages, liabilities, costs, expenses, or legal actions arising from the Vendor's products, services, actions, employees, representatives, guests, or participation in the event.

Vendors are solely responsible for the products and services they sell, including product safety, labeling, licensing, permits, tax collection, warranties, and compliance with all applicable laws and regulations.

I understand that The BIG Plant Market does not provide insurance coverage for vendors, vendor merchandise, vendor equipment, personal property, employees, or representatives. Vendors are responsible for obtaining any insurance coverage they deem necessary.

Vendor agrees to comply with all applicable federal, state, county, and local laws, regulations, licensing requirements, tax obligations, health and safety requirements, and venue rules.

The BIG Plant Market shall not be liable for cancellations, delays, interruptions, schedule changes, or event modifications resulting from weather, acts of God, natural disasters, government actions, venue closures, public health emergencies, utility failures, or other circumstances beyond its reasonable control.

I certify that I am at least 18 years of age and have the authority to enter into this agreement on behalf of myself and my business.

I have carefully read and understand this agreement. By submitting this application, I acknowledge that I am voluntarily agreeing to these terms.

The BIG Plant Market reserves the right to remove any vendor whose conduct is deemed unsafe, disruptive, unprofessional, abusive, fraudulent, or inconsistent with the goals of the event. The BIG Plant Market also reserves the right to remove any vendor who fails to comply with event rules, venue requirements, safety regulations, licensing requirements, or the terms outlined in this application. No refunds will be issued for removal due to rule violations.
