    Application Fee

    To reduce unnecessary administration for applications that are later withdrawn, all healer and reader applications must include a $30 application fee. 

    • If your application is successful, this fee will be deducted from your final invoice.
    • If your application is unsuccessful, the $30 fee will be fully refunded.

    Before you complete your application, please read the following questions to confirm your eligibility;

  • The Fearless Women's Forest Gathering is a huge collaboration between many women. It takes around 100 women to bring this life changing event together. These women need to be connected and unified to lay the foundations for a safe space for the attendees. We achieve this by bringing the collaborators together through zoom meetings 1 week before the event and holding an intention setting ceremony 2 hours before the festival commences.

    If you cannot commit to the following due to family or work commitments, please do not apply. We will be happy to receive your application in future years when you are able to commit to the following;

  • Healer & Reader Information

    How It Works

    • Each healer or reader will have their own 3m x 3m stall space for the full weekend.
    • You may share your stall with another healer or reader (both must apply and be accepted separately).
    • You must supply your own marquee, table, chairs, and equipment.
    • If you do not have a 3m x 3m marquee, we can provide one for an additional fee of $88.
    • No electricity is available in the healing tent area.
    • Public liability and professional indemnity insurance are required.

     

    Healing Tent Hours

    All healing tents must be open for sessions during the following times:

    • Friday 1 May: 2:00pm – 6:00pm 
    • Saturday 2 May: 9:00am – 6:00pm 
    • Sunday 3 May: 9:00am – 12:00pm

    If you cannot commit to these hours, you must arrange to share with another healer or reader who can cover the times where you are not available.

     

    Fees and Inclusions

    • $220 per healer or reader (This includes your stall space, festival entry, and general camping for the full weekend).
    • If sharing a stall, each person pays $220 individually.


    Optional Add-ons:

    • Catering Package: $80 (6 meals from Friday dinner to Sunday lunch)
    • Glamping Upgrade: $120 per person (You’ll be placed in a shared glamping tent with three other crew members).
    • 3 x 3m Oztrail Marquee Hire: $88 (includes walls, set up and pack down).

    Note: No venue cooking facilities are available. If self-catering, you must bring your own refrigeration or esky/ice and cooking equipment.


    Key Dates

    • Applications close Sunday December 14th , 2025.
    • Offers and invoices sent to successful applicants by Sunday January 11th, 2026.
    • Final date for acceptance of offers and payment of invoice is Sunday February 1st.


    APPLICANTS WHO HAVE NOT PAID THEIR INVOICE BY FEBRUAY 1st, 2026 WILL FORFEIT THEIR APPLICATION.

    IN THE UNFORTUNATE EVENT THAT YOU NEED TO CANCEL YOUR PARTICIPATION, REFUNDS WILL BE ISSUED (MINUS A 30% ADMIN FEE) IF CANCELLATION IS MORE THAN 4 WEEKS FROM THE EVENT. 

    CANCELLATIONS WITHIN 4 WEEKS OF THE EVENT ARE NON-REFUNDABLE.

  • If your application is successful, we will promote your offering on social media and our website before the event. We will need a description of your service that also tells us a little bit about you. 

    Here is an example;

    'Rachael will be offering Swedish massage, Reiki and sound healings; a multimodal approach to healing. With a passion for self-care, Rachael brings a kind and warm-hearted energy to her sessions. She can assist you in achieving enhanced peace and relaxation. You may choose to have one or all the modalities on offer as part of your healing session.'

  • HEALERS & READERS – TERMS AND CONDITIONS

    Insurance

    All healers and readers must hold current Public Liability Insurance and Professional Indemnity Insurance.

     

    Power & Equipment

    All sites are unpowered. Therapies requiring electricity (e.g. hot stone massage, red light therapy) are not permitted.

    Healers must supply their own marquee, tables, chairs, and treatment equipment.

    Oztrail marquee hire is available for an additional $88. (This includes walls, set up and pack down)

    The event is held outdoors in a bush, so floor mats are recommended.

    If you cannot attend all required hours, you must find a second healer/reader to share the tent. Both applicants must submit separate applications.

     

    Operating Hours & Attendance

    Bump-in: All healers and readers must arrive and set up before 10:00am on Friday 1 May 2026 OR after 1pm on Thursday April 30th.

    Required Stall Hours:
    Healing tents must be open and attended during the following times:

    • Friday 1 May: 2:00pm – 6:00pm 
    • Saturday 2 May: 9:00am – 6:00pm 
    • Sunday 3 May: 9:00am – 1:00pm

    Session Management & Client Care

    Sessions must run on time. Many guests have full schedules, and delays can cause them to miss other workshops or experiences. Please respect their time and ensure punctuality.

    If a client experiences a particularly emotional or intense session, you are expected to:

    • Follow up with a text a few hours later to check on their wellbeing.
    • Direct them to the onsite Mental Health Support Team if appropriate.
    • This is essential to ensure duty of care and align with the supportive values of the Gathering.

     

    Presentation & Safety

    All services and prices must be clearly displayed.

    Sound healing instruments must be used considerately so as not to disturb other healers in neighbouring healing tents.

    All stall areas must be kept clean, tidy, and hazard-free, especially ensuring no trip hazards.

    Marquees must be securely anchored using pegs, weights or star pickets (recommended).

    Any damage to the site caused by the healer/reader must be repaired at your own cost.


    Food & Catering

    Healing sessions must not interfere with meal service times.

    Please ensure your clients can access their meals without missing out.

    Meals are not included in the stallholder fee. Catered meal packages are available for $80 (includes 6 meals). If self-catering, please bring your own esky/ice and cooking gear, as there are no kitchen facilities onsite.

  • TERMS & CONDITIONS - GENERAL

    By submitting this application, I acknowledge and agree to the following terms and conditions, which are legally binding:


    Event Requirements

    If accepted, I must arrive before 10:00am on Friday, 1 May 2026, and remain onsite until after the closing ceremony concludes at 3:00pm on Sunday, 3 May 2026. I understand I can arrive on Thursday April 30 after 1pm.

    If accepted, I agree to actively promote the Fearless Women’s Forest Gathering as part of the shared marketing campaign. This includes sharing official posts, tagging the event on my social media platforms, and helping build awareness in the lead-up to the gathering.

    This is a women-only event open to those who identify as women and are 18 years and over.

    Only one ticket is valid per successful applicant.

    The Event Organisers reserve the right to refuse entry or remove any person from the event at their sole discretion.


    Code of Conduct

    The Fearless Women’s Forest Gathering is an alcohol-free, illicit drug-free, and psychedelic plant medicine-free event. 

    Any person found to be under the influence of such substances or engaging in disruptive, disrespectful, or unsafe behaviour will be asked to leave immediately.

    In line with our core value of embracing diversity and inclusivity, the Fearless Women’s Forest Gathering is an event where ALL women are welcome — this includes women and people who identify as women. Anyone who cannot respect this and causes disruption will be asked to leave.

    If accepted, I understand I am representing Fearless Women’s Forest Gathering, Harmony Retreat, and Harmony Gatherings Incorporated. I will treat all participants, fellow facilitators, event staff, and volunteers with respect, kindness, and professionalism. I agree not to engage in gossip, bullying, harassment, exclusion, or any form of verbal, emotional, or physical misconduct.

     

    Risk Acknowledgement & Waiver of Liability

    Some activities at this event are recreational in nature and involve physical and emotional risk.

    By submitting this application and attending the event, I:

    Voluntarily assume all risks associated with my participation in any activities, workshops, or use of facilities during the event.

    Release and discharge Carolyne Forte, Michelle Cherry, Harmony Gatherings Incorporated, Harmony Retreat, all event staff and volunteers, and the landowners of 305 Burnside Road, Meelon WA, from any liability for personal injury, illness, loss, property damage or death, howsoever arising, including but not limited to negligence, breach of duty, or under sections 64 and 64A of the Australian Consumer Law (WA).

    Agree to fully indemnify the above parties for any loss, costs, or damages incurred by them in connection with any claim arising from my participation.

    Understand that this waiver applies to all periods of participation, including during event setup and pack down.


    Health & Emergency Medical Consent

    I agree to disclose any physical or psychological condition that may affect my ability to safely participate in any part of the event.

    I give consent for medical treatment to be administered to me in an emergency and agree to be financially responsible for any medical, ambulance, or associated costs incurred.


    Cancellation & Refund Policy

    Cancellations more than 4 weeks before the event will be refunded, minus a 30% admin fee.

    Cancellations within 4 weeks of the event are non-refundable.

    No-shows or early departures do not qualify for any refund.

    If the event is cancelled at any time due to unforeseen circumstances of Harmony Gatherings Inc or Harmony Retreat Meelon, a full refund will be issued, unless it is within 1 week of the event.

    If the event is cancelled and cannot be postponed within 1 week of the event, due to circumstances outside of the control of Harmony Gatherings Inc or Harmony Retreat Meelon (such as a snap lockdown), refunds will be issued minus 15% to cover a portion of the unrecoverable costs.

     

    Media Consent

    I consent to the recording, photography, and filming of me during the event by authorised personnel.

    I grant the organisers full rights to use my image and likeness for marketing, promotional, or documentary purposes, including on websites, social media, and other platforms.

    I acknowledge that copyright and usage rights belong to the organisers and waive any right to inspect or approve the final media use.


    Final Acknowledgement

    By submitting this application, I acknowledge that I have read, understood, and agree to abide by the above terms and conditions in full. I understand this document is intended to be legally binding and may be relied upon in any legal or insurance matter arising from my participation in this event.
