The BIG Plant Expo is a 2-day event, and you must commit to vending for both days. Set up is on Friday, April 24, 2026, from 9 AM to 6 PM. No exceptions. All vendors, influencers, and sponsors must be at their booths on Saturday, April 25th, at 7:30 AM for VIP Shopping from 8-10 AM. Open to the public 10AM-6PM and Sunday, April 26th 10AM- 5PM with vendor awards at 5:00-5:30PM. Everyone is responsible for setting up and breaking down their assigned space. All trash and debris go in the trash or with you.*

Sharing Vendor Booths/Space Policy:

Definition of sharing a booth/space: This includes selling another seller/vendors plants or merchandise at your booth, whether present or not. However, this does not pertain to selling your own plants purchased from a wholesaler.
Important: All plant growers, sellers, and nurseries must receive approval.

Sharing vendor booths or space is allowed ONLY if sublettor of space has also filled out an application, and has been approved.

Consequence: If you are found selling plants from an unapproved seller/vendor, you will not be invited back to vend and asked to leave the premisses.

There will be a charge of $100.00 for splitting a booth.

The packages for shared booth space remain unchanged; no additional add-ons are included for sharing (e.g., free T-shirts, parking passes, employee passes, etc.). You can purchase extra's

There will be a private event Friday after set up from 8PM-10PM at a Downtown Charleston establishment, where you will be able to ask your questions and get to know the influencers on a more intimate level. Food and drinks are available for purchase.

You may choose your booth spot ONLY if you purchase an Influencer Marketing package or Sponsor Package. (It's first-come, first-served, while supplies last.) If the booth number is not there, that spot has been purchased. If you do not purchase an Influencer marketing package, you will be assigned first-come, first-served, from the date of application submission, from front to back. MUTUAL LOGO USE AGREEMENT: 1. Grant of License The BIG Plant Expo (“Expo”) and Vendor each grant to the other a non-exclusive, non-transferable, limited license to use the other party’s official logo solely for the purpose of promoting Vendor’s participation in the Expo event(s). 2. Permitted Uses • Vendor’s Use of Expo Logo: Vendor may use the Expo logo in connection with event promotion, including social media posts, flyers, newsletters, and booth signage. • Expo’s Use of Vendor Logo: The Expo may use the Vendor’s logo in event-related marketing, including website listings, social media, digital and print advertisements, email campaigns, and on-site signage. 3. Restrictions Neither party shall: • Alter, distort, recolor, or modify the other’s logo in any way (other than resizing or reformatting for layout purposes) without prior written consent. • Use the other’s logo on merchandise, products, or for resale without prior written consent. • Use the other’s logo in a manner that misrepresents or implies an endorsement, sponsorship, or partnership beyond participation in the Expo. • Continue use of the other’s logo after the conclusion of the event. 4. Quality Control Each party agrees to maintain the integrity of the other’s branding and follow any provided logo usage guidelines. Either party may request immediate correction or removal of unauthorized or inappropriate use. 5. Ownership All rights, title, and interest in and to each party’s respective logo remain the exclusive property of that party. This Agreement does not transfer any ownership rights. 6. Termination of License This limited license shall automatically terminate at the conclusion of the Expo event(s) or upon written notice by either party if these terms are violated.*

Vendor Application Guidelines

1. Your application does not guarantee entry. We focus on rare and uncommon indoor and outdoor plants, plant supplies, any products that are considered "planty", and homemade artisan vendors. We curate our events to meet the needs of our local community and offer a variety of vendors. Please allow up to 5 business days to hear about your approval or decline.

2. This is a 2-day event, April 25th 8AM - 10AM- VIP; 10AM - 6PM &

April 26th 10AM - 5PM - VIP: 4-5PM Discount shopping with Vendor awards 5PM-5:30PM 2026.

3. Set up is Friday, April 24th 9AM-6PM We will have a load-in schedule closer to the date. Building will be locked down and secured for security purposes promtly at 6PM

4. Space size is linear feet. if you have a 10x10 space, you are not allowed to use (2) 6 foot tables together equaling 12 feet.

5. Participating vendors will receive a coupon code to offer your followers a 10% discount on tickets. Additionally, you will receive a coupon code for complimentary passes included in the package you select.

6. We will be providing a Buy One Get One Free offer for military personnel. To take advantage of this promotion, they must purchase their tickets at the door with a valid military ID.

7. Load- Out is Sunday April 26th 5:30PM- 8:00PM

8. All vendors must have signage to clearly display who they are (ex: signs, placecards, banners, table cloths, etc) You must keep your products and set up within allotted space and out of the isles.

9. All vendors are required to be at their booth at 7:30AM Sat. for Early entrance & VIP shopping. Early entrance & VIP is from 8-10AM. The expo opens to the public at 10AM on both days. SUNDAY the expo closed at 4PM to the public and VIP will have 4-5PM to shop FINAL DISCOUNT DEALS

10. You are responsible to set up and break down your space. ALL trash, products and materials must go with you when it is time to breakdown.

11. Please bring your own dollys for set up and break down. There are only a few that the venue provides and those will come on a first come, first serve basis.

12. You're required to supply your own tables coverings (must be flame resistant), set up supplies, signage and extension cords (if needing electricity). Tables, chairs, pipe and drape are available to rent. You will NOT be able to rent tables, back drops or chairs DAY OF.

13. As a vendor you agree to keep and maintain a good, professional working relationship within The BIG Plant Expo Community and the public.

14. Vendor fees and deposits are non-refundable or transferable.

15. All staff woking a vendor booth, are required to wear an expo badge. Each vendor must be present to collect their badges for their spot and staff. No badges will be given out otherwise. You may purchase extra badges if you need more than your vendor package allotment.

16. All "guests" of vendors coming into the expo, whether doing business, family visiting, customers who have pre purchased products and are picking up, must pay admission to be admitted into the expo.

17. Any vendor who vacates their spot before the expo closes (April 26th at 5PM) will be charged their full booth fee for the weekend. To maintain the apprearance of the show, your full set up must remain up and functioning for the duration of the expo. If an emergency arises during the event, please contact Renay. DO NOT GHOST. Any vendor who leaves without prior notification will still be charged the full fee amount.

18. As a vendor for The BIG Plant Expo, you are required to advertise/post about the expo on your social media. Showcasing your goods in a creative, appealing way, helps generate more promotion for your business and the event. An Expo Logo and flyer will be provided to you for marketing.

19. Payment is the ONLY thing that secures your booth space.

20. In the event the North Charleston Coliseum cannot provide the normal scheduled Expo dates because (1) of its inability to provide utilities, facilities, or other services. (2) of force of majeure or (3) the faclity exercises its emergency powers to vacate the Coliseum. Those events shall not be construed as a breach of contract and there shall be no obligationon The BIG Plant Expo to refund any exhibitor payment nor will The BIG Plant Expo be liable for damages caused by such actions.

I hereby unconditionally release and forever discharge any persons, entities and their prospective employees, officers, contractors, partners, or subsidiary entities, representatives, members or affiliates related in any way to SE Rare Plant Market, LLP and The BIG Plant Expo from any and all actions, liabilities, damages, losses, costs, expenses, claims or demands (including without limitation those based on negligence, gross negligence and/or product liability, breach of contract or any other duty of care owed under applicable laws) that I, my heirs, next of kin, spouse, successors and assigns now have or may hereafter have any injury to me or my property, resulting directly or indirectly from my participation in the BIG Plant Expo or any SERPM Markets entitled: I hereby affirm: I am 19 years of age or older. I have carefully read this document, and I understand its contents. I am aware this document is a release of all liability and a contract enforceable against me (and my heirs, next of kin, spouse, legal representatives, and successors) in a court of law.
