2026 Pride Festival Policies and Disclaimers
SECURITY/LIABILITY: Exhibitor is responsible for the security of its own property and equipment at all times. Exhibitor waives any claims of liability against Rocky Mountain Equality for the loss, theft, or damage of any of the Exhibitor's property at Boulder Pride or during set-up or breakdown. Exhibitor shall indemnify and hold Rocky Mountain Equality, staff, contractors and volunteers harmless from any claim or cause of action arising out of or in connection with the acts or omissions of Exhibitor under this Agreement, and shall reimburse Rocky Mountain Equality for any costs, including but not limited to, reasonable attorney's fees incurred in the defense against any such claims.
CANCELLATION POLICY & INCOMPLETE APPLICATIONS: Exhibitor Cancellation received within 7 days or less of the Pride Event, or those applications which remain incomplete of required documents within 7 days or less of the Pride Event, will result in forfeiture of all monies paid. Cancellations made more than 7 days prior to the Pride event will be honored with an 80% refund.
APPLICATION DENIAL: Submission of this application and payment does not guarantee acceptance to RMEQ Pride Events. RMEQ reserves the right to decline applications based on space limitations or other considerations. In such cases, any payment received will be fully refunded.
REQUIRED DOCUMENTATION: Exhibitor agrees that, in the event that this Agreement is terminated as a result of Exhibitor's failure to provide any required documentation in time for the event, Exhibitor shall not be entitled to any refund but shall forfeit all amounts previously paid. Your application is considered complete and will be processed once completed application and payment of all fees and deposits are received by Rocky Mountain Equality.
DISPUTE RESOLUTION: In the event of a dispute arising in any manner as a result of or in any way related to this Agreement, the parties hereto agree to mediation and/or arbitration as prerequisite to legal action. In the event arbitration or legal action is commenced, the prevailing party shall be awarded reasonable attorney fees and costs incurred as a result of said dispute.
VIOLATIONS: Exhibitor acknowledges that a breach of any of the terms of this agreement may result in the termination of this agreement and the preclusion of Exhibitor's participation in the event. In the event that this Agreement is terminated as a result of any breech by Exhibitor, all fees paid shall be forfeited.
FORCE MAJEURE EVENTS: If events occur beyond reasonable control of RMEQ, such as acts of nature (floods, earthquakes, hurricanes, or fires), wars, terrorism, civil unrest, labor strikes, governmental orders, epidemics or pandemics, or other events that are unforeseeable and unavoidable, Rocky Mountain Equality may retain such part of Exhibitor’s fee as shall be required to compensate the organization for expenses incurred up to the time such contingency shall have occurred.
