    Thank you for applying to be a Food Vendor for the 2026 King William Fair! Please refer to the Food Vendor Policies & Procedures and the Booth Map posted on our website. You will only be required to pay the nonrefundable application fee at this time ($25). However, if approved, you will receive an invoice via email with instructions to pay the additional booth/electricity/insurance fees as applicable.

  • Please list your legal name and address that you would like the check made payable to.

    Note: To ensure timely payment, the name AND address must exactly match the name that the check will be made out to (e.g., your legal name or business/LLC, such as ‘Matt Smith’ or ‘Dairy Delights LLC’).

  • Booth Sizes and Fees

    Note: Additional wristbands will be available at a discounted rate if you need more than what is provided per booth size.
  • Electricity

    · Electricity is available in limited locations and only if Vendor paid for it in advance of Fair Day.

    · Electricity is $200 for a maximum of 4 appliances. If Vendor has 5 – 8 appliances, Vendor will need to purchase an additional electrical connection at $200.

    · Only 110V electrical lines will be available. We will not be able to provide 220V electrical lines for safety reasons.

    · Generators of any size, freezers, or refrigerators are not allowed without prior approval from KWF.

  • Insurance

    Liability insurance listing the King William Association and The Fiesta Commission as additional named insureds is required, and a copy must be on file one week prior to Fair Day. You may purchase one-day “user policy” coverage through the King William Fair and The Fiesta Commission if you do not have coverage (deadline to purchase coverage is February 20, 2026).

    Separate insurance must be purchased for each booth. 

     

  • Parking


    Due to construction and increased parking fees from local businesses, we may not be able to offer free parking permits this year. We are exploring the option of pre-purchasing parking spaces (one vehicle per vendor) and invoicing interested vendors once confirmed. The cost is estimated at around $30 but may be slightly less or more. If we are unable to secure free parking, will you be interested in pre-purchasing parking?

  • Menu Plans

    List up to 5 food items in order of preference with #1 being the highest. We will approve items to ensure a variety of foods at the Fair. Please note: Food vendors are permitted to sell food items only. Beverages (including water, soda, lemonade, etc.) will not be accepted. Specialty drinks such as coffee or snow cones may be considered on a very limited basis.

    Vendors must display prices and menu items with signage that is easy to read and prominently displayed. Menu item prices must be $20 and under.

    • Important Dates:

      1. Deadline for application is January 8, 2026.
      2. Contracts will be emailed to you on February 6, 2026.
      3. Proof of insurance identifying the King William Association and the Fiesta San Antonio Commissions as additional named insureds is due by February 20, 2026. You may email the Certificate of Insurance to Eloise@ourkwa.org or mail it to King William Fair, Attention: Eloise Johnson, 122 Madison Street, San Antonio, TX 78204.
      4. Payment is due February 20, 2026. Instructions will be sent to pay online with your contract. Checks can be made out to "King William Fair" and delivered to King William Fair, 122 Madison Street, San Antonio, TX 78204.
      5. Deadline to withdraw and receive a full refund is March 24, 2026.
      6. There is a MANDATORY meeting for all food vendors on April 2, 2026, at 5:30 pm. location TBD.
