  • 1. Services Provided


    The Coordinator agrees to provide wedding coordination services (the “Services”) as selected by the Client. Services will be delivered according to the chosen package and any additional add-ons selected. The Coordinator’s role is to ensure the smooth running of the wedding day, including the coordination of suppliers, adherence to the timeline, and support of the Client and their guests.

    1.1 Blissfully Sorted Packages
    On-the-Day Coordination – From £595
     This package is intended for couples who have planned their wedding but wish for professional oversight on the day to ensure all details are executed as intended. The Services included are:

    ●     Arrive at the venue before the start of events to oversee setup and ensure that all areas are prepared according to the agreed plan.

    ●     Confirm supplier arrival times, setup requirements, and responsibilities, acting as the primary point of contact on the day.

    ●     Coordinate the timing of all key events, including the ceremony, photographs, speeches, and reception activities, while remaining flexible to minor adjustments as necessary.

    ●     Supervise guest and wedding party management, including directions and assistance as needed.

    ●     Provide calm and professional problem-solving for any unforeseen issues or challenges that arise.

    ●     Safekeeping of cards, gifts, and personal items entrusted to the Coordinator during the event.

    Partial Wedding Coordination – From £995
     Designed for couples who have started planning and wish to receive structured support and guidance in the lead-up to the wedding, in addition to on-the-day coordination. Services include:

    ●     Two pre-wedding planning meetings, conducted virtually or in person, to review the progress of planning and confirm key decisions.

    ●     Review and consultation regarding suppliers, logistics, and timelines.

    ●     Creation of a detailed wedding day timeline, distributed to relevant parties as appropriate.

    ●     Liaison with suppliers prior to the wedding to confirm schedules, responsibilities, and expectations.

    ●     Full on-the-day coordination, as described under the On-the-Day Coordination package.

    Calm Planning & Coordination – From £1,695
     Intended for couples seeking comprehensive planning guidance in addition to full on-the-day support. Services include:

    ●     Four guided planning meetings, in person or virtual, providing structured support and reassurance throughout the planning process.

    ●     Step-by-step guidance on planning priorities, timelines, and logistics.

    ●     Full communication and management of suppliers, ensuring all parties understand their responsibilities and deadlines.

    ●     Development of a detailed wedding day timeline, including contingency plans for potential unforeseen issues.

    ●     Complete on-the-day coordination as described in the On-the-Day Coordination package.

    1.2 Exclusive Add-Ons
    Dry-Hire Logistics Bolt-On – £300

    ●     Oversight and management of external power sources or generators required for the event.

    ●     Coordination of “room turnarounds,” including moving furniture and décor between ceremony and reception areas.

    ●     Supervision of external catering load-ins to ensure smooth operations.

    Day Two Reset – £200

    ●     Up to 3 hours of assistance on the morning following the wedding.

    ●     Organisation and clearing of personal décor and hire items.

    ●     Ensuring the venue is handed back to the required standard.

    Day 2 Coordination – £250–£350

    ●     Management of venue transition following Day 1, including removal or rearrangement of décor for a more relaxed second-day event.

    ●     Coordination of secondary Day 2 suppliers (e.g., casual catering, coffee vans, or entertainment).

    ●     Acting as the primary point of contact for guests regarding timings and locations.

    ●     Consolidation and preparation of all hire items for collection to ensure a smooth handover.

    Travel & Logistics

    ●     Coordination of Services is included for venues within a 16-mile radius of Lisburn.

    ●     Travel outside this radius will be charged at £1.20 per mile for the total round-trip.

    1.3 Exclusions
    Services outside the chosen package—including full wedding planning, styling, décor setup, photography, catering, or other vendor services—are not included unless specifically agreed upon in writing by both the Client and the Coordinator.

    3. Fees, Deposit, and Payment
    3.1 Fees

    ●     Deposit: (non-refundable, secures date) £200.00 

    ●     Balance Payment: The remaining portion of the total fee, due 1 week prior to the wedding date

    ●     Payments accepted via, bank transfer, Stripe or other agreed methods.

    ●     Any late payments may result in delay or cancellation of services at the Coordinator’s discretion.

    3.5 Booking Confirmation

    ●     The Client’s booking is confirmed only once:

    1.    This Agreement is signed.

    2.    The deposit has been received.

    3.    The Booking Form has been fully completed.

    4. Booking Form Requirement
    The Client agrees to complete the Booking Form in full, providing all information necessary for the Coordinator to perform the Services effectively. This includes, but is not limited to, details regarding the wedding schedule, suppliers, special requirements, and any other relevant arrangements.

    Services cannot commence until the Booking Form has been received, reviewed, and approved by the Coordinator. The Client acknowledges that failure to complete the Booking Form in a timely and accurate manner may impact the Coordinator’s ability to provide the Services and could affect the smooth running of the wedding day.

    The Booking Form, once completed and submitted, forms part of this Agreement and will be used as a reference for the planning and execution of the Services on the wedding day.

    5. Cancellation Policy
    The Client may cancel this Agreement at any time by providing written notice to the Coordinator. The following terms apply:

    ●     More than 8 weeks prior to the wedding date: The deposit of £200.00 is non-refundable; no further payments are due.

    ●     Between 8 and 4 weeks prior to the wedding date: 50% of the total fee is payable.

    ●     Less than 4 weeks prior to the wedding date: The full fee is payable.

    The Client acknowledges that deposits are non-refundable under all circumstances and agrees that the above cancellation fees are fair and reasonable.

    5.2 Coordinator Cancellation
     In the unlikely event that the Coordinator is unable to provide the agreed services due to unforeseen circumstances (such as illness, accident, or other unavoidable events), the Coordinator will:

    ●     Notify the Client as soon as possible.

    ●     Provide a full refund of all payments received.

    ●     If possible, assist in recommending a suitable alternative Coordinator, although this cannot be guaranteed.

    This clause does not limit the Client’s right to seek alternative remedies under the law, but the Coordinator’s liability shall not exceed the fees paid under this Agreement.

    6. Liability
    The Coordinator shall perform the Services with reasonable skill, care, and professionalism. The Coordinator cannot be held responsible for any loss, damage, delay, or inconvenience arising from:

    ●     Acts or omissions of suppliers, vendors, or third parties engaged by the Client.

    ●     Restrictions, limitations, or rules imposed by the wedding venue.

    ●     Weather conditions, natural events, or other circumstances beyond the Coordinator’s reasonable control.

    ●     Decisions made by the Client or their guests that impact the day.

    ●     Any loss, damage, or delay related to items, services, or arrangements not directly controlled by the Coordinator.

    The Coordinator’s total liability under this Agreement, whether in contract, tort, or otherwise, shall in no circumstances exceed the total fees paid by the Client for the Services.

    The Client acknowledges that weddings are live events, and while the Coordinator will take all reasonable steps to ensure the smooth running of the day, unexpected situations may arise that are outside the Coordinator’s control.

    7. Changes & Additional Services
    Any changes to the agreed schedule, requests for additional services, or amendments to the package must be documented in writing and agreed upon by both the Client and the Coordinator. The Coordinator reserves the right to assess the impact of any requested changes on the timeline, resources, and staffing required, and additional charges may apply accordingly.

    Changes requested on the wedding day itself may incur additional fees at the Coordinator’s discretion, depending on the nature and urgency of the request. The Client acknowledges that last-minute changes may not always be feasible and agrees to cooperate with the Coordinator to ensure the smooth running of the wedding day.

    All agreed changes and additional services will be recorded in writing, either via email confirmation or signed addendum, and will form part of this Agreement.

    8. Governing Law
    This Agreement is governed by and construed in accordance with the laws of Northern Ireland. The parties agree that any disputes arising out of or in connection with this Agreement, including any question regarding its existence, validity, or termination, shall be subject to the exclusive jurisdiction of the courts of Northern Ireland.

    The parties further agree to use reasonable efforts to resolve any dispute amicably and in good faith before initiating formal legal proceedings. If the dispute cannot be resolved through direct negotiation within a reasonable time, the parties may consider mediation or another mutually agreed-upon alternative dispute resolution process prior to litigation.

    Nothing in this Agreement shall limit the Coordinator’s right to seek injunctive or equitable relief in any competent court to protect intellectual property, confidential information, or other proprietary rights.

    9. Deposit & Payment Reminder
    A non-refundable deposit of £200.00 is required via Stripe or Bank transfer (or other agreed payment method) to secure the date. Services cannot commence until the Booking Form is completed and the deposit is received.

    10. Acknowledgement & Signatures
    The Client acknowledges that they have read, understood, and agree to all terms and conditions outlined in this Agreement.
