  • A day focused on women's health- created by women, for women. The Women’s Health Expo is co-hosted by Direct Surgical Care of Hot Springs and the Hot Springs Women’s Leadership Alliance. The Expo is designed to promote women’s wellness through education, health screenings, and access to trusted local providers and community resources, while also featuring a Retail Therapy marketplace that highlights and supports women-owned businesses as part of the overall Expo experience. Dr. Mandy Rice serves as the Medical Director, overseeing the clinical components of the Expo.

    Seeking Exhibitors

    This event is proudly organized by women, for women, including our exhibitor marketplace. Panel discussions are designed to be in a supportive environment where attendees feel comfortable asking questions and engaging in meaningful conversation. Exhibitor participation is open to women providers, women-owned businesses, and women-led organizations.

    We are seeking exhibitors offering products and services that support women’s health, well-being, and everyday life. Categories may include health and medical services, beauty and skincare, boutiques and fashion, education, financial planning, fitness and personal training, wellness services, nutrition, mental health resources, family services, home and lifestyle products, and other businesses that provide valuable resources for women and families. 

    Exhibitors may distribute health-related information, samples, or promotional giveaways. All materials must be appropriate for a general audience. On-site sales are permitted unless otherwise restricted by venue rules or local regulations. Oaklawn Event Center will provide WiFi to exhibitors.

  • Event Policies

    • Exhibitors must operate as legitimate businesses and comply with all applicable local, state, and federal regulations, including proper business registration where required.
    • MLM, party plan, or direct sales companies will be limited and reviewed case-by-case. Recruitment is not permitted, and products must be safe and not misleading. Only one representative per brand will be permitted. Approved brands may include Mary Kay, Rodan + Fields, and doTERRA. The following brands and similar nutrition or supplement-focused MLM companies are not permitted: Herbalife, Arbonne Nutrition, or Plexus.
    • Exhibitors may not promote products or services that make misleading, unverified, or unsupported health or medical claims. Event organizers and co-hosts reserve the right to review all applications and decline vendors whose offerings do not align with the educational and wellness focus of the event.
    • Exhibitors may not combine or share booths without prior approval from HSWLA.
    • Booth space is reserved upon receipt of a nonrefundable online payment. Fees range from $175 to $300 depending on booth size.
      • Discounted rates are available for a limited number of qualifying 501(c)(3) nonprofit organizations. Please contact sarah@hswomenleaders.org to request a nonprofit discount code.

    Exhibitor Move-In & Move-Out:

    • Exhibitors are responsible for setup and teardown of their booths at the designated timeframe.
      • Exhibitors are highly encouraged to setup the day before the event, Wednesday, September 30th, between 1:00 PM and 4:00 PM.
      • On the day of the event, Thursday, October 1st, access will begin at 8:00 AM, and all booths must be fully set up by 9:00 AM before the exhibitor hour starts.
      • No booth teardown before 6:00 PM on the day of the event. Booths must be completely torn down by 7:00 PM. Early teardown may affect future participation.
    • Booths must be occupied at all times. Expo volunteers mat be available to provide brief coverage for comfort breaks. Due to venue regulations, outside food and beverages are not permitted. There are several dining options on-site.

    Event Promotion: 

    • Exhibitors are encouraged to help promote the event by sharing it through their social media channels and networks.

  • By registering as an exhibitor for the Women’s Health Expo, co-hosted by Direct Surgical Care of Hot Springs and the Hot Springs Women’s Leadership Alliance (HSWLA), you agree to the following terms and conditions:

    Booth Assignment

    • Booth spaces are assigned on a first-come, first-serve basis, based on completed registration and payment.
    • Special placement requests will be considered but cannot be guaranteed.

    Community Event Notice

    • This is a free community event open to the public. 
    • Exhibitors understand that attendance levels cannot be guaranteed.
    • Exhibitor participation does not guarantee exclusivity at the event.
    • Booths promoting political candidates are prohibited. 

    Photo/Media Release 

    • By participating, exhibitors grant permission for photos or video taken during the event to be used by Direct Surgical Care of Hot Springs and the Hot Springs Women’s Leadership Alliance for promotional and marketing purposes.

    Food and Beverage Policy

    • Due to venue regulations, outside food and beverages are not permitted. Exhibitors may not bring, sell, or distribute food or drinks without prior approval from the event organizers and the venue. All food and beverage service must comply with venue policies.

    Liability & Insurance

    • Exhibitors may not provide medical diagnosis or treatment unless properly licensed.
    • Exhibitors selling or promoting health, nutrition, or wellness products must ensure their products comply with all applicable laws and regulations and are clearly labeled with disclosed ingredients. Exhibitors may not make medical claims about products unless supported by appropriate licensing, certification, or regulatory approval. Products that make unverified health claims or contain undisclosed ingredients may not be permitted. Event organizers reserve the right to review and approve any health, supplement, or nutrition-related products prior to the event.
    • Health screenings and services at the Women’s Health Expo are provided by independent vendors who maintain their own  liability insurance. Direct Surgical Care of Hot Springs and the Hot Springs Women’s Leadership Alliance are not responsible for any outcomes resulting from these services. By participating, both providers and attendees agree to release and hold harmless Direct Surgical Care of Hot Springs and the Hot Springs Women’s Leadership Alliance from any liability related to these activities.
    • Direct Surgical Care of Hot Springs and HSWLA are not responsible for any loss, theft, damage, or injury sustained before, during, or after the event.
    • Exhibitors are responsible for their own insurance coverage and compliance with applicable laws and regulations.
    • Exhibitors carrying or selling merchandise are solely responsible for their products, including loss, theft, damage, safety, and compliance with all applicable laws and regulations. The event organizers assume no responsibility for exhibitor merchandise.
    • By participating, the exhibitor agrees to hold harmless and indemnify the Hot Springs Women’s Leadership Alliance and Direct Surgical Care of Hot Springs, event partners, sponsors, volunteers, and the event venue from any claims, damages, losses, or injuries arising from the exhibitor’s participation in the event.

     Cancellation Policy

    • Exhibitor fees are non-refundable. If you are unable to attend, please notify us as soon as possible so we can offer the space to another exhibitor.
    • If the event is cancelled, postponed, or rescheduled due to weather, public health emergencies, venue issues, or other circumstances beyond the organizers’ control, the Hot Springs Women’s Leadership Alliance and Direct Surgical Care of Hot Springs will notify exhibitors as soon as possible. Exhibitor fees may be applied to a future event or rescheduled date. Refunds are not guaranteed if event expenses or contractual obligations have already been incurred.

     Conduct & Representation

    • The event organizers reserve the right to approve, reject, or remove any exhibitor or exhibit that is deemed inappropriate, not aligned with the mission or character of the Expo, or not consistent with the information provided in the application. Exhibitors are expected to conduct themselves in a professional manner throughout the event.
    • Exhibitors must comply with all venue rules and regulations.

                      Standard Booth

                      Includes one assigned exhibitor booth space on the main expo floor. Each booth includes one 8ft table with table linen and two chairs. Booth sharing or combining spaces is not permitted without prior approval.

                      Screening Space Booth

                      This booth includes expanded space designed to accommodate health screenings and will be shared with multiple providers offering screening services. The space is larger than a standard exhibitor booth and provides increased privacy than the main ballroom. Participating providers are responsible for supplying their own equipment, lighting, privacy panels, and any other materials required to conduct screenings. This area will be located in the Ouachita, Hamilton, Catherine, or DeGray Rooms.

                      Double Booth

                      Includes two 8 ft tables, with the second table discounted at 25% and reflected in the listed price. Double booths are located along the perimeter of the ballroom and include table linen and two chairs per table.

                      Requests for electricity must be selected during registration at checkout and will incur an additional $25 fee. Electrical access is limited. Extension cords or power cables may not run across any exhibit hall walkways or common areas.
